Scheduling Email, SMS, and WhatsApp Reminders

To help increase turnout, ElectionBuddy allows you to send reminders to your voters. You schedule the reminders, allowing you to select the perfect time for your voting population. Reminders will automatically be sent when the scheduled time comes. You can also send a Reminder to a Single Voter.

Reminders can only be used when using an electronic notice method, such as Email, SMS, or WhatsApp notices. The number of reminders included in your vote is determined by the cost of your vote. Email, SMS, and WhatsApp reminders are managed separately and each count towards your total of sent reminders. For example, if you have reserved 3, sending one SMS reminder and one Email reminder would use 2 of your 3 reminders.

Scheduling Reminders

Reminder templates are independent of one another (i.e. you may choose to either duplicate or create a different template for each reminder you want to schedule and send). The following process will need to be completed for each reminder you want to schedule and send as a vote-wide reminder.

  • Select your vote's title to go to your vote's Results Page
  • Select the "Actions" menu, located in the top right
  • Select "Reminders"

  • Select  "Schedule Email Reminder" to schedule an email reminder
  • Select  "Schedule SMS Reminder" to send a SMS reminder
  • Select “Schedule WhatsApp Reminders” to send a WhatsApp reminder

  • You have the option to edit the template or provide additional text
  • Enter a send date and time for the reminder to go out
  • Select which voters should receive the reminder; those who have Not Voted, Opened the ballot but not submitted, and/or have already Voted.  To learn more about voter statuses please see: Voter Status During Live Voting

  • Select "Schedule" to save your changes
  • Once scheduled, you can preview the reminder to see what it will look like
  • To preview, click the "Edit" button next to  the reminder after you've scheduled it

The reminder will go out at the scheduled time. To remove, edit, or duplicate the reminder, select the corresponding button.

Duplicating reminders allows you to copy the existing reminder instead of creating a new reminder. All the details are copied, so only the send date and time need to be updated.

Sending Reminders to a Specific Voting Group

Administrators can send reminders to specific Voting Groups. When scheduling reminders, select which group(s) you want the reminder to go to using the “Send to Voting Groups” dropdown menu.

Sending Reminders to a Specific Language

When using Advanced Language Customization, you will be able to send voters reminders in their preferred language. If you make edits to the Reminder text or add additional text, you will need to edit each languages' reminder text.

Select the language from the dropdown menu at the top of the reminder to select which language you would like to edit or add text to. Reminders will go out to voters in their preferred language.

Purchasing Additional Reminders

To purchase additional reminders:

  • Select your vote's title to go to your vote's Results page
  • Select the "Actions" menu, located in the top right
  • Select "Reminders"
  • If you have no reminders remaining, you will see the option to “Add Reminders” addreminders.png
  • You will be brought to a page to select the number of reminders you’d like to add
  • Once payment is completed, the reminders will be added automatically and you can schedule them
